When a visitor fills in a form on your site - a contact form, a quote request, a newsletter sign-up - their message becomes a lead. Every lead is saved in your dashboard, so nothing depends on an email arriving.
The Leads screen
Open Leads from your site’s menu to see everything people sent through your forms. Tabs separate New leads from ones you have marked Contacted. Open a lead to read it in full and choose Reply by email to answer the person directly. Owners, Admins and Editors can read leads and mark them contacted.
Being told about new leads
Each new lead is always shown in your dashboard, and pushed to your devices if you have notifications turned on. You can also have leads emailed to you:
- Connect your email provider under Integrations. Buildly sends lead emails through the provider you connect.
- Open Forms, choose a form, and find Who is told.
- Enter up to five addresses in Email these addresses, and any Blind copies.
Only Owners and Admins can change who receives enquiries. Without an email provider connected, no email is sent - but the lead is still saved and you are still notified in the dashboard. When you reply to a lead email, your reply goes to the visitor.
Keeping spam out
Your forms are protected in three ways:
- A captcha check, run in the visitor’s browser, before the form can be sent
- A hidden trap field catches automated bots
- Limits stop any one sender flooding your form
If a particular person keeps sending you junk, an Owner or Admin can open one of their leads and block that email address. Later messages from it are kept out of your inbox and listed under Blocked, and you can unblock the address if you change your mind.
Keeping, downloading and erasing leads
Owners and Admins can manage your visitors’ details:
- Download leads saves them as a spreadsheet file (CSV).
- Keep leads for sets how many months leads are kept before they are deleted automatically. Set it to zero to keep them until you delete them.
- Erase everything sent from an address removes all of one person’s messages - useful when someone asks you to delete their details.
- A single lead can also be deleted from its own page.
Leads are never charged for or capped by sparks. They are your customers, not AI work.
